Public organization “Ekoclub” is announcing a tender for the purchase of services for temporary accommodation, hall rental, and catering for an event on May 6 and 7, 2025, in Lviv as part of the project People in Need: “Support for winter preparation and renewable energy at the local level in Ukraine.”

Number of participants: 64 people
Requirements for temporary accommodation (housing):
Provide accommodation for 64 people during training, specifically:
– From May 5 to May 7 (2 nights) – 9 double rooms, 2 single rooms (20 people)
– From May 6 to May 7 (1 night) – 21 double rooms, 2 single rooms (44 people)
It will be an advantage to accommodate guests in “standard” category rooms; in the absence of such, alternative options may be proposed.
Individual beds (for double accommodation).
Private bathroom.
Air conditioning/heating.
Breakfast must be included in the accommodation price.
Technical requirements for the conference hall:
The rental services of the conference hall include the rental for two full days – May 6 and 7, 2025, with access from 8:00 AM to 7:00 PM.
The hall must be at least 100 m² in area, centrally located in Lviv, and easily accessible by public transport.
No more than 10 minutes walking (preferably less) to the accommodation and dining places.
Spacious room with windows that can be easily opened for ventilation or equipped with air conditioning.
Availability of a shelter.
Ensuring operation in case of power outages using generators. Fast Wi-Fi for online participation and broadcast of the event.

Catering services throughout the event for 64 people, which includes:
May 6, 2025:
First coffee break (enhanced) – must include coffee for each participant, half the number of tea portions as participants, fruits, dessert, savory snacks, water in jugs, juice.
Lunch – a complex lunch, which will be balanced by weight. (Recommended combination of meat/fish + garnish, salad, drink);
Dinner – a complex dinner, which will also be balanced by weight. (Recommended combination of meat/fish + garnish, salad.
May 7, 2025:
First coffee break – must include coffee for each participant, half the number of tea portions as participants, fruits, dessert, water in jugs, juice.
Lunch – a complex lunch, which will be balanced by weight. (Recommended combination of meat/fish + garnish, salad, drink).
Dinner – a complex dinner, which will be balanced by weight and can be formed into lunch boxes for participants who will leave before the scheduled dinner time.
The proposal must include options for vegetarian and/or vegan dishes.

The selection of the service provider will be conducted on a competitive basis.
Evaluation criteria: The decision on the tender winner will be made by the tender commission based on the assessment of the proposal in relation to other applications/proposals and based on the principle of “price-quality”.
